Refund and Cancellation Policy

1. Overview#

This Policy explains how subscriptions to Praxida can be cancelled, when refunds are available, and how refunds are processed. It applies to all subscriptions purchased through praxida.in and forms part of our Terms of Service.

Praxida is a business-to-business software subscription supplied to professional firms. It is not a consumer good, and no physical product is shipped.

2. Subscription plans and billing#

2.1 Praxida is sold as a recurring subscription on monthly or annual terms, as selected at the time of purchase.

2.2 Fees are charged in advance for each billing period. Access to paid features is available for the period paid for.

2.3 All fees are stated in Indian Rupees and are exclusive of Goods and Services Tax and other applicable taxes, which are charged additionally at the prevailing rate.

2.4 Unless cancelled in accordance with section 3, subscriptions renew automatically at the end of each billing period at the then-current rate for the plan.

3. Cancellation#

3.1 How to cancel#

You may cancel your subscription at any time by:

  • using the cancellation option in your account settings, where available; or
  • emailing support@praxida.in from the email address registered on the account, stating that you wish to cancel.

We will confirm cancellation by email within two business days. If you do not receive confirmation, please contact us — an unconfirmed cancellation request has not taken effect.

3.2 When cancellation takes effect#

Cancellation takes effect at the end of your current billing period. You retain full access to the Service until that date, and no further charges are made thereafter.

Cancelling does not, by itself, trigger a refund of fees already paid for the current period. Refund eligibility is governed by section 4.

3.3 Cancellation before a renewal#

To avoid being charged for a renewal, cancel at least 48 hours before your renewal date. Cancellations received inside that window may not stop the renewal charge from processing, in which case the refund rules in section 4 apply.

3.4 What happens to your data#

On cancellation, your data remains available for export for 30 days from the date access ends. See section 8 and clause 12 of our Terms of Service.

4. Refunds#

4.1 First subscription — 30 day satisfaction refund#

If you are not satisfied with Praxida, you may request a full refund of your first paid subscription by writing to support@praxida.in within 30 days of that subscription commencing.

This applies:

  • once per subscriber;
  • only to the first paid subscription term, whether monthly or annual;
  • regardless of reason — you do not need to justify the request.

We may ask, briefly, what did not work for you. Answering is optional and does not affect the refund.

4.2 Annual subscriptions after the first 30 days#

Annual subscriptions cancelled after the 30-day window are not refundable for the remainder of the term, except where section 4.4 applies.

If you cancel an annual subscription mid-term, you retain access until the paid term expires.

4.3 Monthly subscriptions after the first 30 days#

Monthly subscriptions are not refundable for the current period once it has commenced. Cancellation stops future renewals.

4.4 Service-fault refunds#

We will refund fees, in full or in part at our reasonable assessment, where:

(a) the Service has been materially unavailable for a continuous period exceeding 72 hours due to a fault attributable to us; (b) we terminate your subscription for convenience under clause 11.3(c) of the Terms — in which case prepaid fees covering the period after termination are refunded pro rata; (c) you were charged in error, charged more than once for the same period, or charged after a valid cancellation; or (d) we discontinue the Service, or discontinue a plan you depend on without providing an equivalent alternative.

4.5 Circumstances in which refunds are not available#

Refunds are not available:

(a) after the 30-day window, other than under section 4.4; (b) for partial billing periods, unused seats, or reduced usage; (c) for downgrades between plans mid-term — a downgrade takes effect at the next renewal; (d) where the subscription was terminated by us for breach of the Terms of Service, including breach of the acceptable use provisions; (e) for dissatisfaction with features that were accurately described at the time of purchase, or with features clearly identified as forthcoming, beta, or in development; (f) for outages or failures caused by third-party infrastructure, internet connectivity, government portals, or events outside our reasonable control; (g) for consequences arising from a missed statutory deadline, filing, or notification — the Service is a record-keeping tool and does not guarantee compliance, as set out in clause 4 of the Terms of Service; or (h) where a refund has already been issued to the same subscriber under section 4.1.

5. How to request a refund#

Send an email to support@praxida.in from the address registered on your account, including:

  • your firm name and registered account email;
  • the invoice number or payment reference;
  • the amount and date of the payment; and
  • the reason for the request, where one applies.

We acknowledge refund requests within two business days and communicate a decision within seven business days of receiving complete information.

6. How refunds are processed#

6.1 Approved refunds are issued to the original payment method or account used for the purchase. We cannot refund to a different account, card, or person.

6.2 Once approved, refunds are initiated within seven (7) business days.

6.3 The time for funds to reach you depends on your bank or payment provider, and is typically a further five to ten (5–10) business days. This period is outside our control.

6.4 Where payment was made by direct bank transfer, we will require your bank account details to process the refund. We will request these directly from your registered email address and will never ask for them through any other channel.

6.5 Taxes. Where GST was charged, the refund includes the GST component and a credit note is issued in accordance with applicable tax law. Where you have already claimed input tax credit, you are responsible for reversing it as required.

6.6 Transaction charges. Payment gateway or bank charges deducted at the time of the original transaction may not be recoverable and may be deducted from the refund amount, except in the case of a service-fault refund under section 4.4 or a charging error, where the full amount is refunded.

7. Failed payments and suspension#

7.1 If a scheduled payment fails, we will notify you and attempt collection again. Access continues during this period.

7.2 If payment remains outstanding, we may suspend access after giving reasonable notice, and may terminate the subscription if it remains unpaid for 30 days past the due date.

7.3 Suspension for non-payment does not create a refund entitlement for the suspended period, and does not extend your billing period.

7.4 Data is retained during suspension and remains subject to the export and deletion timelines in section 8.

8. Data after cancellation or refund#

8.1 Following cancellation, expiry, or a refund, your data remains available for export for 30 days on written request to support@praxida.in.

8.2 After that period, data is deleted from active systems, subject to the retention terms in our Privacy Policy.

8.3 You are responsible for exporting any records you are professionally or statutorily obliged to retain before the export window closes. We recommend exporting before requesting a refund.

9. Chargebacks#

If you believe a charge is incorrect, please contact us before raising a chargeback with your bank or card issuer — most issues are resolved faster directly. Where a chargeback is raised, we may suspend the account pending resolution and will provide transaction records to the payment provider.

10. Changes to this Policy#

We may update this Policy. Changes apply to subscriptions purchased or renewed after the updated Policy takes effect, and do not retrospectively reduce refund rights for a term already paid for. Material changes will be notified by email at least 15 days in advance.
